In previous blogs, we looked at different aspects of Venio that we use. In my previous blogs (June 2022), we discussed searching for documents and using keywords. Today, we will be looking at what to do once you have this data and want to present or report your results to your team. To do this, we are going to look at some of the reporting capabilities of VenioOnDemand.

Reports can be found by clicking on its section in the far left of your browser. When you select the dropdown, you will see that there are two types of reports: User Reports and Admin Reports (If you have administrative access).

User Reports

We will be looking at User Reports that you can do once you have completed your searches and tagged documents. Once you choose any report and click on it, the report will popup on a new window.

Custodian Media Information

The custodian Media Information report shows you the Custodian names, Media Name, the original base path of the media, the ingestion status, the ingested size, and the ingested document count.

Search Reports

The first search report is the Search Term Audit. This report can be found under User Reports > Search > Search Term Audit. This report shows what searches you ran and how many hits there were for each search. If you saved the search as with a search name, it would also show up here:

The second search report you can run is the Search Term Report. This report can be found under User Reports > Search > Search Term Report. Next you will have to select the search to generate. Once generated, this report shows the exact search terms you ran, the total document hits, the family count, the unique hits and unique family hits and the Unique Hits percent:

Tag Reports

If you did any tagging of your results, you can also run reports on this to your team. There are a number of Tag Reports that can be run (Tag Summary, Tag History, Tag Comments and Tag Conflicts).

The tag Summary report gives you a summary of all your tags. Within this report you can choose various options depending on what level you want the data for (Custodian vs Project) and the type of deduplication (DeDupe vs No DeDupe). To find this report go to User Reports > Tag > Tag Summary.

These reports show the tag name that was used, the Total Count and the Total File Size:

The Tag History is great when working with teams because it presents you with a history of the tags and which User created those tags. It also shows what time the tags were made, and the total number of documents tagged. This is a great way to overview the progress and work done by different team members.

Final the tag comments and tag conflicts are self-explanatory reports. If there are any comments or conflicts within the tags this will be shown in these two reports.

Final Notes

Within any of these media popup pages once you generate the report there are some important options at the top. You can print any of the reports on your local network on printer. You can also choose to export the report as PDF, Excel, Rich Text, Test, CSV, or Image formats.
